Understanding Keyword Replacer

Purpose: Replace specific keywords with different keywords across multiple posts simultaneously.

Use Cases:

  • Updating outdated terminology across network
  • SEO optimization (replacing weak keywords with stronger ones)
  • Brand name changes
  • Industry terminology updates
  • Preparing content for backlink campaigns

Key Feature: Can replace multiple occurrences of keyword in each article (not just one).

Keyword Replacer Dashboard

Table Columns:

  • Campaign Name
  • Tags
  • Keyword to Replace
  • Filter URL/Words
  • Filter Count (total replacements to make)
  • Article Count (number of articles)
  • Total Days (campaign duration)
  • Start Date
  • Total Replaced (completed)
  • Days Completed
  • Edit/Delete buttons

Creating New Campaign: Click “Replace New Keyword” button.

Keyword Replacement Campaign Configuration

Campaign Name

  • Purpose: Internal identifier
  • Example: “Replace-Old-Brand-Name”

Tags

  • Purpose: Organize campaigns
  • Format: Enter tags or select existing

Keyword to Replace

  • Purpose: The word/phrase being replaced
  • Format: Single keyword or multiple separated by pipes
  • Example: old brand name|previous name|former title
  • Multiple Options: System matches any of the provided variations
  • Case Sensitivity: Typically case-insensitive

Keyword to Exclude

  • Purpose: Skip articles containing these keywords
  • Function: Articles with exclusion keywords are not listed for replacement
  • Example:
    • Replace: “top”
    • Exclude: “top secret”
    • Result: Articles with “top secret” are skipped, others processed
  • Use Case: Avoiding context where replacement would be incorrect

Article Date Range

  • Purpose: Target articles published within specific timeframe
  • Fields: From Date and To Date
  • Calendar Selection: Pick dates for both fields
  • Strategy:
    • Replace in recent content only
    • Update older content specifically
    • Time-based content refreshes

Description

  • Purpose: Internal notes about campaign
  • Use For:
    • Why replacement being made
    • Client requirements
    • Campaign goals
    • Context for future reference

Replace Keyword from Title

  • Purpose: Include article titles in replacement process
  • Checkbox:
    • Checked: Keyword replaced in titles AND body content
    • Unchecked: Keyword replaced only in body content (titles unchanged)
  • SEO Consideration: Title changes affect search rankings

Word to Replace

  • Purpose: The new keyword that will replace the old one
  • Example: If replacing “top” with “peak”, enter “peak” here
  • Result: Every instance of “top” becomes “peak”

Filter Count

  • Purpose: Total number of keyword occurrences to replace across all articles
  • Example: Enter 20 to replace 20 instances total
  • Distribution: System spreads replacements across selected articles
  • Not Per Article: This is cumulative count, not count per article

Spread Across Number of Days

  • Purpose: Duration to distribute replacements
  • Calculation: Filter Count ÷ Days = Replacements Per Day
  • Example:
    • Filter Count: 20
    • Days: 10
    • Result: 2 replacements per day for 10 days

Start Date

  • Purpose: When campaign begins
  • Options: Today or future date
  • Scheduling: Allows advance campaign preparation

Search Category

  • Purpose: Search for specific categories/subdomains
  • Type: Text search box
  • Function: Filters category list below

Filter by Tags

  • Purpose: Show only categories with specific tags
  • Example: Select “healthcare” tag to show only healthcare subdomains

Select Category

  • Purpose: Choose subdomains/categories for replacement
  • Selection:
    • Command+Click (Mac)
    • Ctrl+Click (Windows)
    • Multiple selections allowed
  • Verification: After selection, post search executes

Post Search and Selection:

  1. After selecting categories, system searches for posts containing target keyword
  2. Popup May Appear: “No posts found…” if keyword not in any selected category posts
  3. If Posts Found: List appears below showing matching articles
  4. Select Specific Posts:
    • Choose which articles to include in campaign
    • Command/Ctrl+Click for multiple
    • Can select all or subset

Post Now

  • Purpose: Execute replacement immediately
  • Effect When Checked:
    • “Spread Across Number of Days” disabled
    • “Start Date” disabled
    • All replacements happen at once
    • Campaign not scheduled
  • Use Case: Urgent changes, immediate updates

Saving Campaign: Click “Save Keyword” button to finalize and schedule campaign.

Monitoring Keyword Replacement

Background Processing:

  • Campaign sent to background processes
  • Executes according to schedule
  • No manual intervention needed

Tracking Progress: Navigate to Logs → Background Processes:

  • View campaign status
  • Monitor replacements completed
  • Check for errors
  • Verify completion

Verification:

  • Open affected posts manually
  • Confirm keyword replacements successful
  • Check formatting intact
  • Verify context appropriate
